Group Tour Refund Policy
1. Notice Periods for Cancellations
Refund eligibility depends on the total number of guides booked under a single booking (including guides booked across different dates).
Bookings of 3 Guides or Fewer
May – September

30 days’ notice or more: Eligible for a full refund (subject to administrative fee below).

Less than 30 days’ notice: Non-refundable.
October – April

15 days’ notice or more: Eligible for a full refund (subject to administrative fee below).

Less than 15 days’ notice: Non-refundable.
Bookings of 4 Guides or More
May – September

60 days’ notice or more: Eligible for a full refund (subject to administrative fee below).

Less than 60 days’ notice: Non-refundable.
October – April

30 days’ notice or more: Eligible for a full refund (subject to administrative fee below).

Less than 30 days’ notice: Non-refundable.
2. Administrative Fees and Deductions
Where a cancellation qualifies for a refund within the applicable notice period:

A £30 administrative fee will be deducted from the refunded amount.

This fee also applies if the number of guides is reduced after payment has been made and the booking has been confirmed, provided the change is made within the relevant notice period.

Any bank charges incurred for processing refunds via international bank transfer will also be deducted from the total refunded amount.
3. Entrance Fees (College Entry)
Where a booking includes entry into Oxford colleges:

It is the responsibility of the organisation to ensure that all entrance fee funds are cleared in our account no later than 72 hours before the scheduled tour time.

If, on the day of the tour, fewer participants attend than originally anticipated, we can refund the unused entrance fees upon request.

Any such refund will be subject to a £30 administrative fee.
4. Reason for Policy
We work exclusively with Oxford students as tour guides, which enables us to provide a high-quality and authentic experience. However, as students have academic and personal commitments, we secure guides well in advance to ensure they reserve time for your booking and do not accept conflicting commitments.
For this reason, we require certainty regarding confirmed bookings, and the above notice periods allow us to plan responsibly and fairly for our guides.
5. Advance Booking Recommendation
Please note that between May and September, guides are often booked up to a year in advance, with some single bookings representing over 600 visitors. We strongly recommend contacting us as early as possible once you begin planning your visit to Oxford to ensure availability.
